Community Events Policy Statement
It is the goal of the Town of Devon to host and / or assist in the delivery of local, regional, provincial, national and international events that enhance the Town’s identity and develop relationships. Refer to the PDF copy of the policy to see the criteria for submitting a Community Events Request application.
It is important to note that the majority of events in Town will be required to submit some, if not all, of the application. Please ensure that you read the policy and the Planning Guide thoroughly before considering your event. If you have any concerns there are contact numbers within the Planning Guide of people, both externally and internally, who can assist you (main internal numbers are on page 4 of the Guide.
A note about the Guide and your responsibilities:
As the Event Organizer, you are responsible for the planning and operation of your – or your group’s– Event or Festival. This Guide has been developed by the Town of Devon to help you in the safe planning of your Event.
We know planning an event, large or small, is detail-oriented work. However, we know that it’s the hard work and efforts of the people in our community which make Town of Devon a wonderful place to live, work and visit.
While every effort has been made to make the Planning Guide as helpful as possible in respect of safety, insurance, access and use of facilities / resources, not every question or situation could have been imagined and there may be times when information to external parties has become outdated without our knowledge.
For additional advice and guidance on safe event organization and your responsibilities as the Event Organizer, we encourage you to contact the Community and Economic Development department.
Whatever type of Event or Festival you or your community association is planning; getting organized with permits, licenses and essential requirements etc. will lessen your stress, avoid last minute surprisesand make the whole experience more manageable for you.
We have included a brief section on sponsorship and promotion of your event but as the Guide is primarily aimed at the essentials for health, safety and ensuring that your Event adheres to legal standards we have provided the additional information and links on our website.
Purpose of the Policy
The Community Event Policy serves as the guiding document to direct the management, maintenance and growth of vibrant Festivals, Events and Initiatives that provide maximum benefit for the Town and its citizens. Through this policy, The Town of Devon is committed to supporting:
- An exciting and vibrant range of festivals and events;
- Our diverse cultural character and celebrating our living heritage;
- The growth of volunteerism;
- The growth of tourism;
- The growth of culture and sport;
- The attraction of businesses and employment growth;
- Safe communities.
I Am Planning An Event - What Should I Do?
Step 1 Read the Planning Guide & the Community Event Policy #1103.
Step 2 Complete and submit the Community Event Request IF IT MEETS ONE ORE MORE OF THE REQUIREMENTS.
Step 3 Your application will be reviewed and, if approved, you will be assigned an Event Liaison if applicable.
Step 4 If applicable, an Event Agreement will be drawn up. This outlines responsibilities for any party involved.
Step 5 Apply for permits, licenses and arrange all other components.
Step 6 Host Event
Step 7 Hold post-Event meeting.
